Departments creation with users rights activated

When users rights are activated, we advise you to be careful while creating new departments.

Indeed, you could be surprised loosing access to some departments if you are not aware of the way PlanningPME behave.

So, if you created a new department and then, while opening the planning, you do not have access to any departments or you lost the departments "All resources, human resources and material resources", this post is for you! Read it carefully!

 Let's take the example of the user Mary below who have reading access to all departments but have writing access to the Marketing department only.

 So, when opening the planning, she can visualise all departments but can only modify her own department:

Now, she creates a new department on the planning that we will name "TEST":

 Test-department

 What is then happening on the planning board?

As you can notice below, she now have access to a reduced list of departments: Departments "All resources, human resources and material resources" disappeared from the drop down department menu:

Why?

Because by default, on the users rights settings, the new department created will not be selected which means that Mary now do not have access to all departments!

How to give access to all departments to my users?

You need to check the new department created on all users profile (Menu Data -> User). This setting can take some time if you created a lot of users!

How to avoid this setting problem in the future?

Only advanced users should be allowed to have the possibility to create a new department when users rights are activated!

So, we advise you to create a group (Menu Data -> Group) who do not have the right to add departments:

Let's see how to create a task on the schedule !

First of all, there are three ways to create a task:

  • by double clicking on the planning board;
  • by drawing a rectangle on the schedule;
  • by right clicking on a blank space of the planning board and selecting "New Task".

This is what you should see displayed on your screen:

 

From this task setting window, you can decide which task you want to assign to and the related resources (several can be associated with the task if necessary).Choose also the beginning and ending hours for the task...or add a recurrence to the task so that your resource accomplishes it every given day/week/month.

Then, you can move the task on the schedule with a simple "drag and drop" operation.

Other tasks functions will be explained in further posts for an easier task management.

How to activate a calendar reminder within PlanningPME?


Instead of having a drop down menu like in Outlook to activate an alarm before the beginning of a task, you can activate a reminder via a calendar.

- Standard reminder in PlanningPME: Activation of the alarm before the beginning of the task as in Outlook ( 15 minutes, 1 h or more)

Go to the menu Tools -> Options and select "Task reminder using a date"

Tips on PlanningPME: Task Creation and Modification

How to know who created a task and last modified it?


For each task created on the planning, it is possible to know when it was created, by which user and also who last modified it, just pointing the mouse on the text "Access" at the bottom left corner of the task window. This way, task assignment is made easier and clearer.


How to activate this option?

It is just easy: You just need to create some users and activate the users rights while opening PlanningPME from the menu Data -> User.

First, create specific skills to your sector and/or profession from the menu “Data” -> “Skill" of your scheduling software PlanningPME.

You can assign skills to your resources in just some clicks. Open the card of a resource and go to the tab "Skills".

Click on the button "Assign skills" at the bottom of this window.

Task assignment

Most of the time, your resources have to carry out one task at the same time. It means that you wont be allowed to create a second task at the same time for this ressource and will have to choose another one. Furthermore, PlanningPME informs you that the resource is already busy as shown in the following picture:

But it can happen that in a company, resources have to work out more than just one task at the same time.

With PlanningPME, you have the possibility to assign several tasks to a resource.

To activate this option, go to 

Then untick 'assign only one task at the same time to one resource' in order to be allowed to create to events for this resource.

Providing that the option is untick, the resource can have more than just 1 task to carry out as shown below.

 

 

 You also have the possibility to zoom on periodical tasks to have a precise overview of recurrences.

Create your own customized filters

Activate a filter while creating an additional field of the type "Choice"!

While creating additional fields of the type “choice”, you can activate up to 4 additional filters like shown below:

 

Only resources, clients and/or projects with the field selected will be displayed on the screen on the corresponding view.

 

Then, on the planning board, you can filter by this field:

 

This new function allows you to filter the planning via customized additional fields of the type “Choice”.

Link your tasks easily

How to create a link between your tasks?

While making your office project management, you sometimes need to link your tasks within the software.

To link tasks, two possibilities

-> 1st possibility - Go to the first task and right click, select Link…

 

 

Then, go to the second task and select …to

Results:

 

 

 

->2nd possibility - Select the link icon at the top of the planning:

 

Then, click on the first task and then on the second task

 

 

 

Define a delay between the tasks

You can also precise a delay between two tasks clicking on the arrow directly

 

 

Then, while shifting the first task, the successive linked tasks will be shifted as well according to this delay:

How can I assign several tasks at the same time to a resource

In PlanningPME, if you try to create 2 tasks at the same time to a resource, you get the following message :

If you need to assign several tasks at the same time to a resource you can activate an option to assign several tasks at the same time. To do so, go to the menu Tools -> Options and untick the option "assign only one task at the same time to one resource" as shown on the picture below:
